Website privacy statement

How this public website handles information — and, just as importantly, what it deliberately does not collect.

Draft pending legal review

This is an initial website-level draft. It has not yet been reviewed by a qualified legal adviser and requires legal review before formal commercial launch. It is published for transparency about how this website works, not as legal advice or as a final agreement.

These documents cover this public website only. A deployed ASAP HMS installation handling patient data is governed by a separate, separately reviewed production privacy policy and by the written agreement between ASAP HMS and the organisation operating it.

Initial website draft — July 2026

1. What this statement covers

This statement covers the ASAP HMS public website at www.asaphms.com — the pages you are reading now. It does not cover a deployed ASAP HMS installation used by a hospital or clinic to manage patient care.

Where an organisation operates ASAP HMS to handle patient information, that processing is governed by a separate production privacy policy and by the written agreement between ASAP HMS and that organisation. That policy requires its own review and is not replaced or summarised by this page.

2. What this website collects

This website is published as static pages. It has no backend application, no database, no user accounts and no sign-in. As a result:

  • There is no form on this site that submits data to a server.
  • No analytics, advertising or tracking scripts are loaded, and no tracking cookies are set — which is why you are not asked to accept cookies.
  • No visitor profile is built, and no information is sold or shared with advertisers.

The contact and demo-request forms on this site validate what you type in your own browser and then open your own email application with a message prefilled. Nothing is transmitted to or stored by this website. You remain in control of the message until you choose to send it.

As with any website, the server that delivers these pages, and any network or infrastructure provider in front of it, may process technical request information such as IP address and browser user-agent in order to serve the page and keep the service available and secure. This statement will be updated with the specifics of that infrastructure at the point the site is deployed.

3. Please do not send health information

This website does not request patient medical records through the contact channel, and you should not submit sensitive health information through it.

The enquiry route on this site is intended for business questions — evaluating the platform, arranging a demonstration, or discussing a rollout. It is not a clinical channel, not a medical records request channel, and not a route to any patient record held by a hospital or clinic.

  • Do not include patient names, medical record numbers, diagnoses, prescriptions, reports, images or any other patient or personal health information in an enquiry.
  • Do not use this channel to request, correct or delete a medical record. Contact the hospital or clinic that holds the record directly.
  • Do not use this channel for anything urgent or clinical. It is not monitored as a clinical or emergency service.

If health information reaches us unsolicited through this channel, we will not use it to evaluate or provide services, and we will seek to delete it.

4. How enquiry email is handled

Because enquiries are sent from your own email application, contact communication may be handled through ordinary business email and the associated business mail provider. An enquiry you send therefore reaches us the same way any business email does, and is retained in that mailbox as ordinary business correspondence.

We use what you send to respond to your enquiry and to discuss whether ASAP HMS suits your organisation. The public contact address for this website is piyush.pandey@asaphms.com.

This site links to separate ASAP HMS applications, such as the hospital application and the provider console. Those are different systems with their own access controls and their own handling of information; this statement does not describe them. Following such a link takes you outside this website.

6. The deployed product is governed separately

Nothing on this page describes how a live ASAP HMS installation stores, processes, retains or protects patient data. The actual deployed product privacy practices require a separate reviewed production policy, agreed with the operating organisation, before any such installation handles real patient information.

This page makes no representation, assurance or legal undertaking about the handling of patient data by any deployed system.

7. Changes and questions

This draft will change — both through legal review and when the site is deployed to infrastructure. The revision label at the top of this page indicates the current version.

Questions about this statement can be sent to piyush.pandey@asaphms.com. Please keep patient information out of that message too.
